ASKED QUESTIONS
BOOKING & AVAILABILITY
IS MY PREFERRED WEDDING DATE AVAILABLE?
We recommend booking 12-18 months in advance for peak season dates (spring and fall). Contact us to check availability for your special day.
HOW FAR IN ADVANCE SHOULD WE BOOK THE KALLA?
For weddings, we suggest booking 12-18 months ahead. Corporate events and other celebrations can often be booked 6-12 months in advance.
WHAT IS REQUIRED TO SECURE OUR DATE?
A signed contract and 50% deposit secures your date. The remaining balance is due 30 days before your event.
WHAT IS YOUR CANCELLATION POLICY?
If after signing the contract, the Client cancels the booking more than sixty (60) days prior to the event date, the client will forfeit the rental deposit. If the cancellation occurs within sixty (60) days of the event date, the security deposit and full rental fee will be retained.
PAYMENT DETAILS
WHAT DEPOSITS ARE REQUIRED?
- Security Deposit: $1,500.00 Security Deposit* is due at signing to secure your date. (SECURITY DEPOSIT IS REFUNDABLE PROVIDING THE VENUE IS RETURNED IN THE SAME CONDITION IT WAS RECEIVED AT BEGINNING OF THE RENTAL PERIOD)
- Rental Fee Deposit: 50% of the rental fee is due at signing to secure your date.
WHAT ADDITIONAL FEES MAY BE INCURRED?
- All events with alcohol require security coordinated through the Keller Police Department.
- Guest Count 150 or less: 2 Officers Required
- Guest Count 151+: 3 Officers Required
- Certificate of Insurance/Day of Insurance
- We require all events to have a day of insurance policy. The Client must maintain event insurance coverage of at least $1,000,000, naming The Kalla Events as additional insured/Certificate Holder. Event insurance can be purchased through www.eventhelper.com and ranges from $100.00 to $150.00. Proof of insurance must be shown 90 days prior to event date.

IS THERE A BACKUP PLAN FOR OUTDOOR EVENTS?
Yes! Our beautiful indoor venue is available if weather does not permit outdoor ceremony.
ARE THERE BRIDE AND GROOM SUITES AVAILABLE?
Yes, we provide luxurious preparation suites for both the bridal party and groomsmen, complete with all amenities needed for your special day.
IS THE KALLA WHEELCHAIR ACCESSIBLE?
Yes. Venue and restrooms are wheelchair accessible.
VENUE DETAILS
WHAT IS THE KALLA'S GUEST CAPACITY?
Our Grand Ballroom accommodates up to 300 guests, while our Crystal Ballroom is perfect for intimate gatherings of up to 200 guests.
WHAT FURNISHINGS ARE INCLUDED WITH MY RENTAL?
The Kalla Events is happy to furnish guest tables and chairs for your event. Our staff will set up the guest tables and chairs, according to the pre-approved floor plan. All floor plans are approved by the Hospitality Director prior to the rental date.
You are welcome to provide pre-approved decorations for your rental. All personal items and decorations must be removed from the venue by the contracted vacate time.
DO YOU HAVE OUTDOOR CEREMONY SPACE?
Yes! We offer beautiful outdoor ceremony areas with our signature cedar arbor, waterfall features, and stunning natural backdrops.

Yes! Our beautiful indoor venue is available if weather does not permit outdoor ceremony.

SERVICES & VENDORS
CAN I USE MY OWN VENDORS?
Absolutely! The Kalla Events has an “Open Vendor” policy! If you need vendor suggestions, we have a wonderful Trusted Vendor List with outstanding vendors in many categories.
WHAT IS REQUIRED FROM MY VENDORS PRIOR TO THE RENTAL DATE?
- Food must be pre-approved by the Hospitality Director as part of the rental agreement.
- Limited (drop-off service): All caterers who are providing catering services at The Kalla Events are required to provide proof of general liability insurance in the amount of $1,000,000 per occurrence, and automobile liability insurance, $1,000,000 combined single limit, and a signed catering agreement. The Kalla Events shall be named as an additional insured on each applicable policy. Such proof of insurance shall be provided at least thirty (30) days prior to the event. A copy of the food handler’s/manager’s certificate is also required.
- Full-service: All requirements of limited catering plus proof of workers compensation insurance, per State of Texas statutes. Caterers must make an appointment to view and assess The Kalla Events and grounds prior to the event.
- Catering services permission, by The Kalla Events, is required as part of the rental agreement to bring your own food and drink (nonalcoholic) on-site. The Kalla Events will make the prep kitchen available for the use of your licensed caterer under the terms of this contract.
- All caterers must be identified and have a contract on file with The Kalla Events at least ten (10) days prior to your event.
Information Regarding Decorations
- The use of “Tac N Stick”, “Command® Strips, Painters Tape, or other adhesive products of any kind is prohibited.
- The use of tacks, staples, pins, or other piercing items is prohibited.
- Floral wire, zip ties, and/or ribbon is prohibited as long as no nails, tacks, pins, adhesives, etc. are used to attach anything to walls, structures, or doors.
- The renter is responsible for leaving the venue in it’s original condition at the end or the rental period.
- If cleaning by staff is necessary after any rental, a Cleaning Fee will be deducted from the Security Deposit at a rate of $500.00. Additional Cleaning Fee(s) will be charged for larger areas.
- Fresh flowers, plants, and balloons may be used for rentals. The renter is responsible for ensuring live flowers and plants have the proper items to prevent water damage or incidents on all surfaces.
Table Linens, Tableware, Serviceware:
- The Kalla Events does not provide these items for rentals. You are welcome to provide your own table linens, tableware, and service ware. Most caterers, bartending services, and party rentals agencies offer numerous options to accent any occasion.
DO YOU PROVIDE CATERING SERVICES?
We have a list of vendors that you may contact.
DO YOU HAVE A KITCHEN?
We have a basic prep kitchen. We do not allow cooking inside the venue, but please inquire with the Hospitality Director to discuss cooking options.
DO YOU PROVIDE EVENT PLANNER / COORDINATOR SERVICES?
The Kalla Events is happy to provide standard planning/coordinating services for your rental. Additional fees apply depending on services required.
You are welcome to use your own planner/coordinator. If you use an outside planner/coordinator, we ask them to work with our staff throughout the process to ensure a smooth process on both sides.
WHAT'S INCLUDED IN OUR RENTAL PACKAGE?
Tables, chairs, basic lighting, sound system access, and our beautiful built-in features like bars and ceremony spaces.
LOGISTICS
WHEN CAN I START SETTING UP FOR MY EVENT?
Your setup time starts at the time of your contracted rental time.
WHEN DO I HAVE TO HAVE EVERYTHING OUT OF THE VENUE?
We require everything out of the venue at the end of your contracted event time.
IS PARKING AVAILABLE FOR OUR GUESTS?
Yes, we provide complimentary on-site parking for all guests with easy access to our venue entrances.
ARE THERE ANY NOISE RESTRICTIONS?
We maintain respectful relationships with our neighbors. Music and celebrations may continue until midnight on weekends.
CAN I PROVIDE MY OWN ALCOHOL?
Alcohol may only be brought in by the renter, or TABC licensed and insured bartending service, and must be served by a TABC licensed and bonded bartender. The Kalla Events do not allow guests to BYOB their own alcohol for rentals.
