The Kalla’s planning process is designed to be as beautiful and seamless as your special day. Our experienced team guides you through every step, ensuring your vision comes to life with elegance and ease.

1. Schedule Your Tour
- Call or contact us to schedule your venue tour.
2. Confirm Your Event Date & Times
- Finalize rental hours, including setup and breakdown
3. Receive Your Contract
- Review your contract details carefully.
- Sign where indicated and return the completed contract to The Kalla staff.
- Provide a current Certificate of Insurance (COI). The Kalla will share instructions on how to obtain this.
4. Secure Your Vendors
- Book your caterer, DJ/band, florist, and photographer early.
- Ask us for our Trusted Vendor List if you’d like recommendations.
- All vendors must provide a current Certificate of Insurance (COI) within 30 days of your rental date.
- All vendors must provide a completed Hold Harmless Agreement (digital version provided by The Kalla) within 30 days of your rental date.
5. Plan Your Event
- Estimate your guest count for seating, tables, and décor.
- Plan your floor plan/layout (The Kalla staff is happy to assist).
- Decide on catering, bar service*, and beverage needs.
*Alcohol Service Requirements:
- A TABC-licensed, bonded, and insured bartender is required.
- No BYOB. All alcohol must be provided by the renter and served by a TABC-licensed bartender.
- Keller Police officers, or approved private security, must be onsite while alcohol is served.
We encourage vendors who have not previously worked at The Kalla to schedule a site visit in advance.
6. Design Your Event
- Review your contract details carefully.
- Sign where indicated and return the completed contract to The Kalla staff.
- Provide a current Certificate of Insurance (COI). The Kalla will share instructions on how to obtain this.
7. Review Logistics with The Kalla Team
- Arrange rentals (if not included) such as linens, lighting, or stage.
- Discuss parking, valet, or shuttle needs.
- Have vendors coordinate with The Kalla for load-in, decoration, and load-out times.
8. Schedule a Final Walkthrough
- Meet with The Kalla team to finalize details.
- Bring your planner, caterer, or key vendors if needed.
9. Confirm Insurance & Permits (Due 30 Days Before Rental Date)
- Provide renter’s COI.
- Ensure all vendors submit their COI and Hold Harmless Agreement.
- Confirm compliance with alcohol service requirements.
10. Create Your Timeline
- Work with The Kalla staff, planner, DJ, or coordinator to map out the event schedule.
- Share the final timeline with The Kalla and all vendors.
11. Finalize Your Details
- Provide your final guest count 7 days prior to your rental date.
- Confirm vendor arrival times, setup needs, and breakdown plan.
12. Enjoy Your Celebration!
- Relax knowing the details are handled—The Kalla team will ensure everything runs smoothly.
